Confirm what the document records before translating its title.
Calibration and verification are not interchangeable labels. Calibration establishes a documented relationship between indications and reference quantity values, with associated uncertainty; verification provides objective evidence that specified requirements are fulfilled. A test report, inspection report, maintenance or adjustment record, certificate of analysis and declaration of conformity also have different functions. Read the complete title, issuing laboratory, identified instrument, method and result structure before choosing Calibration Certificate or Calibration Report, and keep every different source on its own manifest and quote line.
Original fictional example: secure upload contains “Certificado de calibración CC-26-184” with reference values, indications and uncertainty, plus a separate “Acta de verificación funcional.” The manifest records one calibration certificate and one verification record; the English translation does not merge them or rename both as calibration certificates.

Inventory the laboratory, certificate, customer, pages and version.
Record the complete non-personal title, issuing laboratory and location, certificate number, issue and calibration dates, customer block, number of pages, attachments, revision identifier and any superseded-copy wording. Translate organizational labels but preserve names, identifiers, dates, page relationships and source-visible masking exactly. Do not treat a filename as a version control or assume that two similarly numbered certificates are duplicates.
Original fictional example: “CC-26-184 Rev. 1, page 1 of 3” accompanies an older unmarked scan. The manifest keeps the three-page revision as the active translation set and records the older scan separately for customer confirmation; it does not silently combine pages.

Lock the instrument, model, serial number, range and accessories.
Map the instrument description, manufacturer, model, asset or inventory identifier, serial number, capacity or measurement range, resolution and any probe, sensor, fixture, software or accessory identified as part of the calibrated setup. Translate the labels and preserve the printed values, symbols, capitalization and masks. Do not expand a partial serial number, standardize a model name or infer that an accessory was included when the certificate does not say so.
Original fictional example: the source identifies “Termómetro digital,” model “TX-8,” serial “4A17,” range “−20 °C a 120 °C,” and probe “S-2.” The English identity block retains all five elements and the minus sign; it does not change the range to Fahrenheit.

Preserve the method, date, location and stated environment.
Keep the calibration method or procedure identifier, referenced standard or instruction, calibration date, laboratory or on-site location and environmental readings such as temperature and relative humidity in their source relationships. Translate descriptive wording while copying codes and measured conditions. A condition described as stable, controlled or within a range remains the laboratory’s statement; the translation does not determine whether that environment was suitable.
Original fictional example: “Método PR-MAS-04; calibración in situ; 18/08/2026; 21,4 °C; 46 % HR” becomes a labeled English method-and-conditions block with the same code, date value, decimals and units. QA does not round 21.4 or assess the humidity.

Map nominal, reference, indication, error and correction columns.
Read each table heading in the context of the method and equations printed on the certificate. Preserve Valor nominal or Valor de referencia, Indicación, Error and Corrección as distinct columns, including repeated runs, ascending or descending points and any mean values. Error and correction may use opposite signs, so never substitute one for the other or derive a missing field. Keep a blank cell, dash and zero distinct.
Original fictional example: one row prints reference “50,00 mm,” indication “50,03 mm,” error “+0,03 mm” and correction “−0,03 mm.” The English table preserves each label, value and sign. It does not calculate either value again or fill correction in another blank row.

Control units, decimal places, separators, signs and symbols.
Create a project number-and-symbol rule before laying out the table. Preserve each unit and the number of reported decimal places. If the approved English style changes a decimal comma to a decimal point, verify digit by digit that the value is unchanged and keep thousands separators unambiguous. Retain plus and minus signs, inequalities, scientific notation, superscripts and symbols such as °C, %, µm or N·m. Do not convert units, change precision or normalize a value into a new scale.
Original fictional example: “−0,006 bar” is rendered “−0.006 bar” under the documented English separator rule. It is not rounded to −0.01 bar, converted to pascals or shown without its minus sign.

Preserve uncertainty, tolerance, conformity and traceability wording.
When the source reports a measurement result as y ± U, keep the value y, expanded uncertainty U, unit, coverage factor k and stated coverage probability together. Preserve any decision rule, tolerance, conformity statement, limitation and metrological-traceability paragraph verbatim in meaning and scope. Do not add pass or fail when the certificate states no conformity conclusion; do not imply that a logo validates every result or that an instrument itself is traceable. Translation reports what the source says and does not validate the uncertainty calculation, accreditation scope or traceability chain.
Original fictional example: the certificate states “Resultado: 10,002 V ± 0,004 V; k = 2; probabilidad de cobertura aproximada del 95 %” and gives no tolerance. The English result keeps all elements together and does not add “within specification.”

Keep adjustment states, marks, signatures and final version controls visible.
If the source separates results before adjustment and after adjustment, retain both labels, table blocks and chronology. If adjustment is not stated, do not infer it from changed values. Reproduce visible accreditation or laboratory marks with an approved descriptive treatment, translate signature-role labels, and preserve signer names, signature status, dates, page x of y, revision codes, restrictions on partial reproduction and amendment or replacement notes. Finish with bilingual row-by-row and page-by-page QA against one confirmed source version.
Original fictional example: page 2 is headed “Antes del ajuste,” page 3 “Después del ajuste,” and the footer says “Sustituye al certificado CC-26-184 Rev. 0.” The translation keeps both states and the replacement note; it does not describe the adjustment as successful or retain an obsolete footer.
