Inventory the original order, every attachment and each later revision separately. Preserve the purchase-order number and date; buyer, supplier, bill-to and ship-to roles; internal and quotation references; currency; each line number, item identifier, description, quantity and unit; prices, allowances, taxes and printed totals; requested delivery details; payment and delivery wording; approvals and visible marks. Do not merge versions, recalculate amounts, convert units or currencies, import a value from a companion record, interpret commercial terms or decide which document controls. Read articleWhen a Spain-issued albarán records goods sent and received against an order, “delivery note” is often a useful English title. Confirm its function from the complete page before choosing that term. Preserve supplier and customer roles, albarán and order references, item rows, units, quantities, dispatch and receipt dates, and every signed, stamped or handwritten receipt or discrepancy mark. Keep ordered, dispatched and acknowledged quantities in separate source columns. Translate every legible reservation without treating a signature as proof of complete or satisfactory delivery. An invoice, packing list, carrier record or picking slip needs its own classification. An exact quote requires all pages, reverse sides and attachments through secure upload.
Read articleFirst confirm that the source is an export packing list—often titled lista de empaque, lista de bultos, lista de contenido or packing list—rather than a commercial invoice, delivery note, bill of lading, certificate of origin or customs declaration. Inventory every page and continuation, then preserve the seller, shipper, buyer and consignee roles; invoice, purchase-order, shipment and transport references; each pallet, crate, carton, drum, bag or other package; package marks and numbers; and the exact relationship between every package and its contents. Keep descriptions, part or item identifiers, lot or serial details, quantities and units in their source rows. Preserve net, tare and gross weight, dimensions and volume as separately labeled values with the printed units and digits. Cross-check repeated references against companion documents, but do not silently reconcile conflicts, recalculate totals, convert units, classify goods, create missing customs data or promise clearance or acceptance.

Inventory every page and version, then preserve the laboratory, certificate and customer identifiers; instrument name, manufacturer, model, serial number and range; method, date, location and stated environmental conditions; and every result-table relationship among nominal or reference value, indication, error and correction. Copy units, the number of decimal places shown and signs exactly. If the source expresses a result as y ± U, retain the expanded uncertainty, coverage factor and coverage probability exactly as stated. Translate tolerance, conformity, accreditation and metrological-traceability wording without strengthening it. Include before-and-after adjustment results only when the source does, and preserve marks, signatures, page numbers and revision controls. Translation does not recalculate or convert results, validate calibration, accreditation or traceability, infer conformity, choose a recalibration interval or promise acceptance.

Keep an abbreviation beside a supported English explanation when one label could mislead. This is not a current-status, contribution-base or company report, employment letter, payslip or CV. Translation does not select or correct records, verify employment, calculate contributions or benefits, interpret legal status, advise on tax, employment, Social Security or recipient rules, authenticate the file or promise acceptance.
Read articleFirst confirm that the file is an individual salary receipt from Spain rather than a payroll list, employment letter, contract or bank payment record. Then inventory every selected pay period, page and attachment; preserve the employer and worker blocks, settlement dates, earnings and non-salary groupings, deductions, contribution and withholding-base labels, percentages, amounts, totals and source-visible notes in the same relationships. Translate labels in context, but copy identifiers and printed values exactly and keep each period separate. Do not calculate gross or net pay, reclassify an item, interpret tax or Social Security treatment, decide which months prove income, verify employment or authenticity, give legal, tax, employment or recipient advice, or promise acceptance.

Reproduce every transaction table row for row and column for column; copy opening, closing and running balances without reconciling them; keep operation or posting dates separate from value dates; and preserve debit, credit, sign and currency notation without classifying transactions or converting amounts. Retain repeated headers, page continuity, abbreviations and the identifier family actually printed, such as IBAN and BIC on many Spain statements or CLABE, SPEI, tracking-key and reference fields in relevant Mexico material. Reflect only redactions that are visible in the supplied source, mark them clearly and use secure upload for the files. Read articleUse “civil registry” for a generic institution or register, capitalizing “Civil Registry” only in a proper name or source-supported title. Use “Civil Registry Office” for a particular office and “civil registration” or “civil-registration system” for the activity, process or administrative system. When a complete heading such as Registro Civil de Nacimiento names an issued event document, “Civil Birth Record” or “Birth Certificate” may fit as project-level renderings supported by that full title and source form. Do not turn every isolated occurrence into “Birth Certificate,” “Vital Records Office” or “County Clerk’s Office.” Read the complete heading or sentence, issuer, country, event type and grammatical role first, then use one context-supported English term consistently.
Read articleOn Spanish-language civil-registry records, tomo often maps to “Volume,” libro to “Book,” and folio to “Folio,” “Page,” “Leaf” or “Page Reference,” depending on the issuer, period, layout and nearby labels. If a supplied record prints two or more of these labels together, treat them as separate labeled fields unless the complete syntax clearly defines another relationship; do not collapse them into one invented number. Preserve every printed label, value, sequence and relationship, including Roman numerals and leading zeros. These fields do not by themselves prove the record’s authenticity, validity, completeness, legal effect or acceptability.

A reliable quote starts with a manifest showing the course ID and title, institution, program, academic year or term, source version, page count and transcript match. Preserve the source hierarchy, hours and credits as labeled values rather than converting them, and include objectives, topics, assessments, bibliography, tables, signatures, approvals, notes and repeated material within the confirmed scope. Translation can produce and quality-check that packet; it cannot choose which courses to submit, evaluate equivalency, decide transfer credit, advise on licensing or admission, authenticate a syllabus or guarantee acceptance.
Read articleDiploma and degree certificate are not universal equivalents. In Spanish-to-English translation, the safest document label comes from the complete source, not its heading alone. Check the exact title, award or status wording, institution, credential or program name, field, dates, registry details, signatures, seals and companion records. A diploma may record a degree, short course, award or recognition; título, título profesional, certificado de título, certificado de grado, constancia de grado and acta de grado can perform different functions. Preserve what the source displays and use a reviewed contextual rendering without silently upgrading it to a U.S. degree or merging separately issued records. Translation can identify and render the supplied document; it cannot determine degree equivalency, decide whether one record substitutes for another, authenticate the source or guarantee recipient acceptance.

Read articleOrder a hard copy when the receiving organization’s current written instructions, or its written clarification, identify a physical translation deliverable. Instructions may refer to a printed translation, a certification page with a specified physical signature presentation, a sealed package, mailing or direct physical delivery, but each phrase must be read in its own context. Words such as certified, signed, official, original or copy do not by themselves prove that the English translation must be on paper. Confirm the exact recipient and submission stage, preserve the dated instruction, separate requirements for the source-language document from requirements for the translation and ask the recipient to clarify any ambiguous medium, signature, sealing or delivery wording. If paper is confirmed, pass the written details into the quote and define the physical option; if a PDF is expressly permitted and no later paper step is identified, you may not need a printed translation. A translation provider can quote the confirmed deliverable but cannot infer an unstated rule, interpret legal, immigration, academic or government requirements or guarantee acceptance.
Read articleNeither a certified translation delivered as a PDF nor a printed copy of the certified translation is automatically acceptable; check the receiving organization’s current written instructions and ask it to clarify any unclear format, signature, package or submission detail. In this guide, digital means PDF delivery, not a promise that a particular electronic or cryptographic signature method is used. When both formats are permitted, they can contain the same reviewed Spanish-to-English translation, certification wording and page order. What changes is the delivery medium and production scope: the PDF order needs a defined file package and secure delivery method, while the physical order also needs a copy count, print specification, shipping destination, courier scope and separate delivery plan. The quote should state whether the order includes PDF, print or both; which source files or attachments accompany each version; how many physical sets are produced; which approved file version is printed; and the digital and physical delivery dates separately. Printing and courier work are separate scope items, and no format or provider can guarantee acceptance.
Read articleCropped stamps and missing pages delay translation because the team cannot confirm the complete source set, see all translatable wording, or scope the layout and review effort from partial evidence. A crop may hide stamp text, dates, reference numbers, borders or marginal notes; an omitted page, reverse side or attachment may contain continuation text or certification marks. The safe next step is to identify only the affected item, compare the files against page numbers, fronts, backs, attachments and all four edges, then replace the defective capture with a complete readable file. A close-up can help inspect a mark, but it cannot replace the full-page image that preserves context. Unaffected work may continue only when the provider confirms that sequencing. The provider can revise the quote or schedule after review; it cannot reconstruct absent content, authenticate a mark, decide a document’s effect or guarantee acceptance.
Read article[Illegible] means the translator could not read a specific part of the source confidently enough to render it as certain English text. The marker keeps that limitation visible instead of guessing or silently omitting content. Its position should show whether it covers a character, word, line or bounded passage; project wording and brackets can vary. It does not by itself mean the whole document is invalid, fraudulent, incomplete or badly translated, and certification cannot make the source readable. Compare the marker with the same location in the complete source. A clearer image, another official copy or review may resolve some cases. If it remains unresolved, ask the receiving organization about its written requirements; no provider can guarantee acceptance.
Read articleAutomatically swapping date components is not a safe general rule for translating a Spanish date. When the source is clear, a written date such as “5 de abril de 2026” can be rendered as “5 April 2026” or “April 5, 2026” under the project’s approved English style while preserving the same date. A numeric date such as “05/04/2026” may be ambiguous to an English reader, so the translator checks the field label, issuing context, repeated entries and any version with the month written out before deciding. If the evidence does not resolve it, the date is queried or marked transparently rather than guessed. Birth, registration, issue, filing and expiry dates remain separate. A source-faithful translation does not invent missing values, silently make conflicting records agree or guarantee recipient acceptance.
Read articleTranslators do not solve illegible handwriting by guessing. They first separate a capture problem—such as blur, glare, cropping or low contrast—from handwriting that remains unclear in a complete, sharp image. A qualified translator then reads the note in page context, compares repeated characters and values, and requests a better image or limited factual clarification when it could resolve the source. Legible content is translated; unresolved content is represented with an approved, visible uncertainty or illegibility notation appropriate to the project. Names, dates and identifiers receive extra checks. Certification does not make unreadable source text readable, and no provider can guarantee that a recipient will accept a document containing unresolved handwriting. Send the complete file for review before relying on price or timing.
Read articleAn apostille, authentication, legalization and translation are not interchangeable terms. Under the HCCH framework, an Apostille is a Convention-specific type of authentication. When the Convention does not apply, legalization generally comprises a series of authentications. Translation is separate: it renders the supplied document and any in-scope certificate pages into English. An Apostille certifies the origin of a public document, not the truth of its content. The correct route depends on the State of origin, State of destination, document category, current treaty relationship, any applicable exemption and the receiving office’s instructions. Do not order every step by default or assume translation always comes first or last. Confirm the route in writing, then request a quote for the complete document chain.
Read articleTranslate the academic record, not its educational value. Keep every displayed grade, average, credit total, unit label and table relationship traceable to the Spanish source. Translate headings, course titles, qualitative results and legends consistently, but do not silently turn 8.7 into a U.S. GPA or letter grade, convert ECTS into semester hours, recalculate an average or decide transfer credit. Include every grading key, footnote and content-bearing reverse. If the receiver wants equivalency, GPA conversion or credit transfer, treat that as a separate evaluation under its instructions. A certified translation can report the source accurately; it cannot award equivalency or guarantee acceptance.
Read articleApellidos means surname(s) or family name(s). Primer apellido means first surname, and segundo apellido means second surname when the document separates those fields. Translate each label and reproduce its name value in the source field and order. Do not automatically convert primer apellido to “paternal surname” or segundo apellido to “maternal surname”: country rules, chosen order, family circumstances and the record itself can differ. If the source shows only an unlabeled full name, do not invent a split. A receiving form may group names differently, so its current instructions control data entry; a translation does not decide legal identity or guarantee acceptance.
Read articleSometimes—but only for personal use by default. For a formal submission, translate your own Spanish document only when the exact recipient’s current instructions permit the applicant or document owner to act as translator and you can meet every completeness, accuracy, certification, source-copy, signer and delivery requirement. If applicant translations are prohibited or a provider is named, use that path. If the rule is unclear, ask the responsible office in writing before proceeding. Silence is neither permission nor prohibition, and no self-made or professional translation guarantees acceptance.
Read articleGoogle Translate can help you understand or triage some Spanish documents, but do not treat an unreviewed download as submission-ready unless the actual receiving organization explicitly permits that path. Google’s current document-help page says its document feature supports selected file types and warns that text found in images and scanned PDF pages may appear in the output without being translated. A Google Translate file also does not by itself provide a signed certification statement, complete source-to-target review or recipient-specific delivery check. Before submitting anything, confirm the permitted provider, certification, source-copy, privacy and delivery rules; then use a complete human-reviewed Spanish-to-English translation when those rules or the intended use call for it. The recipient, not the translation tool or provider, decides acceptance.
Read articleSometimes. The university, program, registrar or named credential evaluator sets the rule. Some current graduate-admissions instructions require certified or official English translations with the original-language academic records; another current policy does not request translation for records in Spanish. Treat the source record’s official status, the need for an English translation, the translator or certification requirement, credential evaluation and delivery method as five separate decisions. Save the current instruction and quote its wording before ordering. A certified translation does not make a source transcript official, replace an evaluation or guarantee admission or acceptance.

Translate the field labels, preserve the visible letters, accents, punctuation, spacing and field relationship, and keep each name tied to its source location. If a securely supplied passport or other official document shows a different English spelling, treat it as a documented project instruction and record the relationship between the spellings without attributing the alternate form to the source.
